Reply in an hour: what fast community management changes

We tracked reply times across sample client inboxes for six months. Speed changed more than satisfaction. It changed what got posted next.

An inbox is a front desk

A message asking whether you take walk-ins is a customer standing at the door. If the answer arrives the next morning, they ate somewhere else. Most of the value in community management is simply being there while the question still matters.

Across the sample accounts we manage, the median first reply inside cover hours sits between twenty and forty minutes. Getting there takes saved replies, a voice guide and a rota. It does not take a large team.

What to write down first

Before taking over an inbox we agree four things in writing.

  • Voice: how you greet, how you sign off, which words you never use.
  • The twenty most common questions, each with an approved answer.
  • Escalation: what gets passed to a manager, and how fast.
  • House rules: what gets hidden or reported, published where followers can read them.

Comments are research

The same questions arrive every week. Each one is a post waiting to be made. Our community managers tag recurring questions and send a short digest every Friday, and the content team picks two to answer on camera.

Videos that open with a real comment on screen consistently hold attention well, because viewers can see that somebody actually asked.

Handling the hard ones

Complaints get a fast, plain reply in public and a move to private messages for details. We do not delete criticism that is fair. People read how you answer, and a calm reply to an angry comment does more for trust than a dozen compliments.

Anything involving safety, refunds above an agreed limit or the press goes to a named person on the client side within fifteen minutes.

Agree the voice, the common answers and the escalation path, then be present while the question still matters.
